Job Description

We are currently looking to fill an Receptionist / Administrative Assistant position with a Tulsa company.

Ideal candidate will have 2+ years as a Receptionist and/or Administrative Assistant. Position is responsible for providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Essential Job Responsibilities:

  • Maintain a clean and orderly reception area.
  • Answer, screen and transfer calls in a pleasant and professional manner.
  • Greet guests and efficiently direct them to the proper personnel, while following security and building access procedures.
  • Open, organize and date stamp incoming mail. Follow procedures on timely scanning of invoices/mail to corporate office. Date stamp outgoing mail. Maintain postage meter regarding rate changes and postage balance.
  • Monitor and distribute faxes.
  • Assist with pre-employment process for applicants, required policy forms for temporary employees and maintain time and attendance badges for new hires.
  • Maintain and order office and safety supplies in a cost effective manner (includes multi-function copiers, printers, first aid, gloves, hearing and eye glass protection).
  • Maintain data base for employee reimbursements on safety shoes and prescription safety glasses, following established guidelines for reimbursement.
  • Create documents utilizing Microsoft applications of Word, Excel and Power Point.
  • Create various interoffice memos regarding announcements for luncheons, funerals, etc.
  • Scan purchase orders and related documents via Document Imaging System.
  • Responsible for planning and organizing catered lunches and ordering flowers for employee occasions.
  • Assist with planning and organizing workplace events which include, but not limited to, all employee lunches, contests and various wellness events.

Requirements/Qualifications:

  • Minimum two years experience as receptionist with administrative duties. Telephone etiquette is essential.
  • Experience in purchasing activity beneficial.
  • Intermediate level skills in MS Office, as well as data entry and ability to research information on the internet.
  • Excellent organizational and mathematical skills.
  • Must be flexible and detail oriented to perform a variety of assignments with the ability to work well with others.
  • Self-motivated and trustworthy including a professional appearance and demeanor.
  • Ability to communicate efficiently and effectively both orally and in writing.
  • Strong attention to detail is a must.
  • Confidentiality of all sensitive matters is a must.

Preferred Skills:

  • High School Diploma required, plus two (2) years college level courses preferred.
